If you become a client:

•    Contact details: name, address, email and telephone number

•    Emergency contact details, and GP details if you choose to give them

•    Information about your health and wellbeing, including your history and anything you tell me during sessions

•    Session records: assessment notes, progress notes and any notes about risk

•    Invoicing and payment records

Website: this website is hosted by Squarespace. It uses only the essential cookies Squarespace needs for the site to work securely. I do not use analytics or tracking cookies.

3. Why I collect it and my legal basis

I use your information so that I can provide safe and appropriate therapy: to assess your needs, keep the records my profession requires, arrange and invoice sessions, and respond if there is a serious concern about your safety or someone else’s.

My legal bases for using your information are:

• Article 6(1)(b): processing necessary for the performance of a contract (our therapy agreement)

• Article 9(2)(h): processing necessary for the provision of health or social care or treatment, by a professional subject to a duty of confidentiality; and/or

• Article 9(2)(a): your explicit consent, which you give on the Consent Form, in particular for audio-recording sessions and for contacting your GP or emergency contact which you can withdraw at any time

4. How your information is stored and protected

•    Assessment notes are typed, printed and then deleted electronically, so that only a paper copy is kept. Progress notes are usually handwritten.

•    Paper records (forms and notes) are kept in a locked filing cabinet that only I can open.

•    Invoices are produced in QuickBooks Online, which stores your name, address and email address.

•    Online sessions take place on Zoom.

•    My business email is provided by Google (Gmail).

•    I do not keep emails or text messages as part of your records.

5. Confidentiality and sharing

Confidentiality is central to therapy. I do not sell your data or share it for marketing. I will only share information:

•    with my clinical supervisor, which is a standard and ethically required part of my work. I do not use your name, and I keep other identifying details to a minimum

•    with your GP, your emergency contact or emergency services if I believe you or someone else is at risk of serious harm. Where you have consented, I may contact your GP or emergency contact in other circumstances you have agreed to

•    with a safeguarding authority if I believe a child or an adult at risk is in danger of harm

•    where the law or a court order requires me to

•    with my clinical executor, who is bound by confidentiality and would only contact you if I became unable to work, or died

•    with anyone else only with your explicit consent

Wherever possible and appropriate, I will talk to you before sharing anything, and I will share only what is necessary.

Mettle, Zoom, Google (Gmail) and Squarespace store some of your information on my behalf.

6. Recordings and my training

I am training as a psychotherapist. With your consent, I may audio-record sessions on a password-protected dictaphone. After the session, I take out a short portion and delete the rest. I may play that portion to my supervisor and, if you also consent, use it in an anonymised, annotated transcript for an assessed essay. I type transcripts myself. The portion is kept in a secure, encrypted folder on my computer and deleted once the essay has been marked. My training organisation may keep submitted work, which is anonymised, in line with its own policies.

I may also write about my clinical work in anonymised form for my training. I will ask your consent before using anything you could recognise as yourself.

7. Artificial Intelligence (AI)

I do not use AI tools to record, transcribe, summarise or store sessions, or to process any information that could identify you.

8. How long I keep your information

I keep client records for 7 years after our work together ends. Session recordings are deleted much sooner, as described in section 5. After 7 years, paper records are shredded and any electronic records are permanently deleted. Financial records are kept for as long as the law requires for tax purposes.

If you contact me but do not become a client, I delete your enquiry within one month.

9. Your rights

Under UK GDPR, you have the right to:

•    see the personal information I hold about you

•    ask me to correct information that is wrong

•    ask me to delete your information, in some circumstances

•    ask me to restrict or stop using your information, in some circumstances

•    receive your information in a format you can take elsewhere, in some circumstances

•    withdraw your consent at any time, where I rely on consent

To use any of these rights, please contact me. I will usually respond within one month.

10. Contact

If you have any questions about this policy or how your information is handled, please contact me at hello@katepagetherapy.co.uk.

11. Complaints

I may update this policy from time to time. Any changes will be posted on this page.
